CyberEOC ("we," "us") provides an emergency operations platform at cybereoc.com. This policy describes how we handle information for subscribing organizations and their authorized users.

Information we collect

• Organization accounts: name, email, billing details, plan configuration, and geo-coded asset/location data you enter.
• Team contacts:names, email addresses, and optional mobile phone numbers added by your organization's authorized administrators for operational alerts.
• Usage data: sign-in activity, dashboard actions, and technical logs needed to operate and secure the service.

How we use information

We use collected information to:

• Provide maps, intelligence layers, asset management, and operational tools.
• Send operational email and, when enabled, SMS/MMS alerts on behalf of your organization.
• Process subscriptions and support requests.
• Maintain security, prevent abuse, and improve the platform.

We do not sell personal information or use team contact data for advertising.

SMS and MMS (operational alerts)

If your organization enables the SMS add-on, CyberEOC may send text messages to team contacts on your organization's behalf. Message types include:

• Operator-initiated updates: incident notes, secure map share links, and optional map snapshot images (MMS) sent manually from the dashboard.
• Automated weather alerts: NWS watches, warnings, and advisories affecting geo-coded locations your organization monitors (when team weather alerts are enabled).

Consent:Team contacts are enrolled by an authorized administrator for the subscribing organization. The organization is responsible for obtaining each recipient's consent before adding a mobile number in CyberEOC.

Frequency: Message volume varies and is event-driven (incidents or qualifying weather alerts). Many contacts receive no messages until an event occurs.

Opt-out: Recipients may reply STOP to cancel SMS messages from CyberEOC for that number. Reply HELP for assistance or contact your enrolling organization. Message and data rates may apply.

SMS delivery is provided through our messaging provider (Twilio). Mobile numbers are used only to deliver operational messages requested by the enrolling organization.

Sharing

We share data only with service providers that help us operate CyberEOC (hosting, email, payments, SMS delivery) under contractual obligations, or when required by law. Map share links you generate may be accessible to anyone with the link.

Retention & security

We retain account and operational data while your organization maintains an active subscription and as needed for legal, billing, and security purposes. We use industry-standard measures to protect data in transit and at rest.

Your rights

Organization administrators can update or remove team contacts in the dashboard. Questions or privacy requests: info@cybereoc.com.

We may update this policy from time to time. Material changes will be reflected on this page with an updated date.
